Each site has its own departments. A department defines a team (Maintenance, Housekeeping, Therapists…) and which app modules they need access to. Settings here only affect the corresponding site.
Tune which room actions are available for each room state. Different property types have different needs — a B&B may not use luggage moves or porter requests, while a busy hotel uses everything.
The physical places in your property — bedrooms, plant rooms, floors, kitchens, back-of-house areas. This one shared list powers location tagging right across the app: assets, tasks, call-outs, checklists and audits all pick from here, and it feeds the “Problem areas” view in Statistics. Locations are per-site — pick a site, then add, rename, reorder or remove its locations.

Generate KB documents from a plain English prompt using Anthropic's Claude. Turn this off if your organisation prefers not to use AI generation — the ✨ button in the Knowledge Base will be hidden completely.

Configure the Asset Register for your organisation.
Define the maintenance and compliance schedules available when registering assets. Each type has a name, interval, and an optional compliance flag for legally-required certificates (Gas Safe, LOLER, EICR etc.).
When a visiting engineer scans an asset's QR code they receive a short-lived pass for that asset only. The payload is deliberately limited to the fields below — no commercial or internal team detail is sent to their phone.
Open a read-only copy of exactly what an engineer sees for any asset — nothing you do in the preview is saved. (You can also tap the eye button on any asset's detail screen.)
Guests scan the QR code in their room and request basic services — towels, tea & coffee, milk and more — without calling reception. Each request becomes a Housekeeping task and alerts whoever's on duty. Print a room's code from its detail screen (the QR button). Customise the buttons, where requests go, and the look below.
What a guest sees. Add, rename or remove freely. The emoji shows on the button; the optional note appears when they tap it (handy for the milk message).
The team that sees the "request waiting" banner and can tap to claim. Pick whole departments plus anyone by name. Owners always have access. Leave everything off to fall back to the default (housekeeping, reception & managers).

Print a QR poster for any spot in the building. A staff member scans it with their phone — no login, no app — and reports a fault in seconds. It lands as a Maintenance job for this site, with the poster's location already attached, plus a claimable card in the site's Maintenance chat. Add a poster per area, or one “general” poster for the whole site where the reporter types the spot.
Define what belongs in every room's minibar — the drinks & snacks and how many of each. Staff then count a room's minibar in seconds and instantly see what's short to restock. Pick a site, then set up its minibar from your inventory items.
Platform-operator only. Create a brand-new customer organisation — its first site, a starter set of departments, and an owner login — in one step. The owner can sign in straight away and add more sites, departments and staff themselves.
Manage every group chat in one place — rename, change who's in it, set its department and whether it raises claimable tasks, or remove it. Members and creators can no longer change a group from inside the chat unless they have this permission.
Removed groups are hidden but kept so you can bring them back. Delete permanently wipes the group and all its messages — this can't be undone.
Find group chats with no activity for a while and remove them in one go. They go to “Removed groups” above — still recoverable — where you can delete them permanently to clear the storage.
Who can see & claim the per-site “Guest requests” thread (the departments and people) is set per site under Guest access.
